The replacement board does not work: what to send when reporting an issue

If equipment still does not work after a replacement arrives, pause assumptions and gather information. The symptom may relate to the part, compatibility, installation or the initial diagnosis. An organised report explains the situation without assigning a cause before it has been assessed.

Identify the order and part

Have the order number, delivery date and purchased reference ready. Photograph the labels on the received board and keep the original board images. If the packaging shows visible damage, document its condition and the part as received.

Keep the labels intact and do not make modifications or attempt repairs yourself to see whether the problem disappears. These changes can also make it harder to describe the condition in which the part arrived.

Explain what happened and when

State whether the issue was noticed on receipt or during professional installation. Describe the precise symptom and any code shown by the equipment. Avoid a vague message such as 'it’s no good': explaining whether it fails to start, does not communicate or repeats the earlier symptom helps direct the review.

  • Order number and received board reference.
  • Complete equipment model and photographs of its labels.
  • Observed symptom and checks documented by the professional.

Include the compatibility information

Attach any previous enquiry confirming a reference before purchase. Point out differences between the listing, the confirmation and the part received. The professional should decide whether to stop testing and revisit the diagnosis; repeated attempts without a technical assessment do not replace that review.
